tOS Communication Privacy Policy

Effective October 15, 2026

The Tech Square uses tOS Communication to manage enquiries, messages, comments and business content for its Instagram accounts, including @thetechsquare.ca and @thetechsquare.shop. This notice covers that integration. It does not replace policies for purchases, payments, employment or other tOS services.

Information we access

When you interact with a connected account, the integration may access your Instagram identifier and username, conversation participants, messages, comments, timestamps and information about the business posts involved. We use this information to understand and respond to your enquiry and manage our business communications.

For connected business accounts, we store account identifiers, account names, account type, store assignment and connection details. Access tokens are encrypted on the server. They are not displayed to staff in account responses.

How information is handled

The current inbox retrieves conversations and messages from Instagram when requested. It does not maintain a separate message-body archive in the integration database. We keep action records, such as the staff member, action type, time, result identifiers and request fingerprints, to track actions and prevent duplicate submissions. Business content drafts and uploaded images may be stored when publishing tools are used. Webhook receipt records contain fingerprints rather than copies of message bodies.

Access and service providers

Access is restricted through tOS account and business permissions. Meta provides Instagram and its APIs. Vercel hosts the application and server functions; Supabase provides database and media storage. These providers process information needed to deliver these services. Information may be processed outside your province or country. Instagram also handles your information under Meta’s own privacy policies.

Retention and your choices

Messages remaining on Instagram are subject to Instagram’s controls. tOS connection records, action records and content drafts do not currently have an automatic expiry schedule. You can ask us to review and delete information we hold about you using the contact below. We will explain any information that must be retained for applicable legal, security or dispute-resolution purposes. Removing an app connection stops its authorized access but does not itself erase previously stored records.

Privacy and deletion requests

Email info@thetechsquare.ca with your request and Instagram username. Tell us whether you contacted @thetechsquare.ca or @thetechsquare.shop. We may ask for limited information to verify that the request is yours. Never send your password or access token.
